How much does WhatsApp automation cost for a small business?
By Ignacio Damián González
WhatsApp automation can start with the free tools in the WhatsApp Business app. When you need an assistant to handle inquiries, use your business information, or work with a calendar, the budget usually combines initial setup, a subscription, and variable usage costs.
To understand what you will pay, ask for two numbers: the total for the first month and the monthly cost at your usual volume. A message rate or subscription price alone is not enough to calculate that total.
This guide explains what to check and provides a fictional budget using a real messaging rate as a reference. Sources checked on October 15, 2026; provider terms may change.
Can you automate WhatsApp for free?
The WhatsApp Business app is free to use for basic customer service. It includes automatic greeting and away messages, plus quick replies that a person sends using shortcuts. See its official features.
If you receive a few inquiries and mainly need to share opening hours or repeat an answer, start by reviewing those tools. Setting them up and keeping the information current still takes your team's time.
Meta also offers a native AI agent for eligible businesses in selected markets. Check availability and terms for your account, then see whether it handles the work you need done.
When evaluating a solution connected to your calendar or other systems, compare the complete workflow: what it can look up, what actions it can perform, and how a person steps in when needed.
What does the price of WhatsApp automation include?
A quote should separate these items and explain which are included:
| Item | What you need to know |
|---|---|
| Initial setup | Configuration, business information, channel connection, integrations, and a workflow review before activation. |
| Platform subscription | Included agents, channels, and users; maintenance, support, and configuration changes covered. |
| AI usage | Whether it is included, has an allowance, or is billed by usage; how audio and documents affect consumption. |
| Messaging | Meta charges and, where applicable, the provider connecting WhatsApp. |
| Extras and payment terms | Overage, additional integrations, taxes, currency, and exchange-rate rules. |
Setup requirements can vary considerably between businesses. Answering questions from an approved service list requires less coordination than connecting several calendars with different schedules, durations, and rules. Ask for each integration to be listed in the scope, along with who keeps its data current.
It also helps to distinguish support from scope changes. Correcting a response and adding another location may have different terms.
How much do WhatsApp Business API messages cost?
WhatsApp Platform rates depend on the recipient's market and the message category. To estimate them, identify the countries you message and how much of your traffic involves customer service, reminders, or campaigns.
Meta's official FAQ states that, from October 1, 2026, service messages are also charged per message, with the first 1,000 service messages per phone number each month free. That allowance counts messages. One conversation can contain several. Confirm the applicable terms with your provider when requesting a quote.
An intermediary may add its own fee. For example, Twilio lists USD 0.005 per inbound or outbound message, plus applicable Meta charges. That amount covers Twilio messaging; customer service software, AI, and setup are budgeted according to the solution you choose.
A subscription might also measure usage in contacts, conversations, or service interactions. Ask for the exact definition of that unit and how a returning customer is counted. Do not assume it matches WhatsApp's billing unit.
Example: calculating the first month and recurring cost
Suppose a business receives 500 inquiries a month, averaging 12 messages per inquiry, counting incoming and outgoing messages. That is 6,000 messages a month. In this example, the Twilio charge would be 6,000 × USD 0.005 = USD 30.
The setup, subscription, and AI amounts below are illustrative assumptions. This budget is fictional and does not represent Agents Platform pricing or a market average.
| Item | Example amount | Frequency |
|---|---|---|
| Setup | USD 150 | Once |
| Solution subscription | USD 100 | Monthly |
| Estimated AI usage | USD 10 | Monthly, depending on usage |
| Twilio messaging | USD 30 | For the example's 6,000 messages |
| Meta charges | To calculate | Based on recipients, categories, and applicable allowances |
| Taxes and other applicable charges | To confirm | Based on the quote and providers |
Under these assumptions, the first month totals USD 290 plus Meta charges and taxes. Following months total USD 140 plus Meta charges and taxes, provided volume and terms stay the same and there are no other charges.
That subtotal helps you compare quotes that group costs differently. If a quote already includes AI or messaging, avoid counting them twice. If a price has a usage allowance, also calculate what happens when you exceed it.
Questions to compare two quotes
Before signing up, ask for specific answers to these questions:
- What will the assistant handle? Define tasks: sharing approved prices, collecting a request, checking availability, or confirming an appointment.
- What does the subscription include? The number of agents, phone numbers, channels, users, and the usage allowance, with its unit of measurement.
- Who bills external costs? Knowing what you pay directly and what appears on the service invoice helps you compare the total.
- What happens when usage grows? Ask about overage rates, usage alerts, and an agreed spending limit, including how it affects customer service.
- How does human intervention work? Who receives a handoff, how they access the conversation history, and what support is available.
- What are the pilot terms? Duration, charges, continuation, the end of promotions, and how to cancel.
If a quote is expressed in USD but payable in Argentine pesos, also ask which exchange rate applies, its date, and how the final amount will be communicated.
How to decide whether the cost makes sense for your business
Choose a repetitive task and observe how much work it takes today. During the pilot, review the cost alongside resolved inquiries, your team's time, corrections, and handoffs. An increase in the number of replies does not by itself demonstrate better customer service.
If your business works with appointments, measure how many requests become confirmed bookings and what still needs intervention. Our guide to automating appointment booking on WhatsApp explains what information to prepare and how to define that workflow.
How Agents Platform is quoted
At Wize It, Agents Platform includes a paid implementation and a monthly subscription, quoted according to volume, channel, and integrations. The pilot defines a specific scope so you can evaluate the service in your operation.
To prepare a useful quote, tell us about your business, your approximate inquiry volume, the task you want to handle, and whether you already use a calendar or another system. With that information, we can review the scope and costs for your situation.
Tell us what you need to automate, and we will evaluate a pilot for your business.
